What we collect through this website, why, how long we keep it, and the choices you have.

Last updated

Nina Marie Child & Youth Foundation is a charitable, non-profit organisation based in Buea, South West Region, Cameroon. This policy explains what personal information we collect through this website, why we collect it, how long we keep it and the choices you have. We have tried to write it plainly. If anything is unclear, write to us at info@ninamariefoundation.org.

What we collect, and why

We only collect information you choose to give us. Nothing on this site asks for more than it needs.

  • Newsletter. Your email address, so we can send you occasional updates about our work. Nothing else.
  • Contact form. Your name, email address, and the subject and text of your message, so we can reply.
  • Scholarship applications. Your name, contact details, date of birth, school or university and level of study, the name and contact of a parent or guardian, your statement of motivation and any document you attach, such as a certificate or proof of enrolment. We need these to assess an application against the foundation's criteria.
  • Volunteer applications. Your name, contact details, where you are based, your availability, skills and your reasons for applying, so we can find the right place for you.

When you submit a form we also record the date and time it was sent. We do not collect payment card details on this website: gifts are made through PayPal or a mobile money operator on their own pages, under their own policies.

How we use it

We use your information for the purpose you gave it to us: to reply to you, to consider your application, or to send you the updates you asked for. We do not sell personal information, we do not share it with advertisers, and we do not use it to build profiles. Applications are seen only by the foundation's staff and board members who take part in the decision.

Emails we send

When you subscribe, send a message or apply, we send you one confirmation email so you know it arrived. Newsletter subscribers receive an email when the foundation publishes an update on this website. Every newsletter email carries an unsubscribe link; one click stops them and no explanation is needed. Confirmation emails are sent once and are not marketing.

Cookies and tracking

This site uses a single session cookie, which the website needs to protect its forms from abuse and to show you a confirmation after you submit one. It is deleted when you close your browser. We do not use analytics cookies, advertising cookies or social media trackers, which is why you will not see a cookie banner.

The contact page embeds a map from Google Maps. Google may set its own cookies when the map loads; its handling of that data is described in Google's privacy policy. Links to PayPal, Facebook and other services lead to pages we do not control.

Where your information is kept

The website and its database are hosted by Hostinger. Application documents are stored privately on the server and are not reachable by a public link. Access to the administration area is restricted to named staff accounts with individual passwords. Email is sent through the foundation's own mailbox.

How long we keep it

  • Newsletter addresses are kept until you unsubscribe. An unsubscribed address is kept only so that we do not email it again.
  • Contact messages are kept for up to two years so we can follow up a conversation, then deleted.
  • Scholarship and volunteer applications are kept for the length of the scholarship or the volunteer's involvement, and for up to three years after an unsuccessful application in case the applicant applies again. They are then deleted.

Photographs

The photographs on this site show our work: the people at outreach events, workshops and school visits. We ask permission before photographing children and their guardians, and we remove a photograph at the request of anyone shown in it. If you are in a photograph on this site and would rather not be, tell us and it will come down.

Your choices

You can ask us at any time to tell you what information we hold about you, to correct it, or to delete it. You can unsubscribe from the newsletter using the link in any email we send. You can withdraw an application by writing to us. We will act on any of these requests within thirty days and will not ask you why.

Children

Many of the people we serve are children. Scholarship applications for elementary pupils are made by the foundation itself after visits and assessments, not through this website. Where an applicant is under eighteen, we ask for a parent or guardian's name and contact and correspond with them.

Changes to this policy

If the way we handle information changes, this page will change with it and the date at the top will be updated. Substantial changes will be mentioned in the newsletter.
